General Exhibit Information: Exhibitors can arrive after 8 am on Thursday, May 17,
2012 to set up their exhibit area. All exhibits must be set up by 3 pm on Thursday, May
17, 2012. The exhibits officially close at 4 pm on Friday, May 18, 2012 with teardown
immediately following and ending by 6 pm. Exhibits may not be dismantled prior to
official closing time. Each exhibitor may display the following items: literature, logos,
company signs and samples. Each exhibit is allotted a 10x10 foot space, with one 6'
table and two chairs.
Exhibit Coordinator: Exhibitors will sign in at the conference registration table and the
exhibit coordinator will help them as needed.
Exhibitor Information Kit: After confirmation of space assignment an exhibitor's
information kit will be mailed to each exhibitor. This kit will contain order forms for
electrical/computer/telephone service, shipping/receiving information, loading dock in-
out procedures, and parking information.
Subletting of Space is prohibited.
Arrangement of Exhibits: The exhibitor agrees to manage his/her exhibits so as not to
obstruct or interfere in any way with the general view, the view of the exhibits of other
exhibitors, or the free passage of spectators as well as not blocking fire exits.
Care of Space: The exhibitor agrees not to deface, injure or mar the exhibit hall of
Skamania Lodge, any of the furniture or fixtures contained therein, and/or any of the
property of whatever nature placed therein. All materials used must be non-flammable
to conform with the fire regulations of Stevenson, Washington. Electrical wiring and
equipment installation must conform to applicable Stevenson, Washington codes.
Special notice: All equipment, furniture and carpeting must be confined to the measured
limits of the exhibit area. No nails or bracing wires used in erecting displays may be
attached to the building without written consent of the Lodge Convention Services
Manager. All property destroyed or damaged by exhibitor must be replaced in its original
condition by the user at the user's expense.
Liability: Hope of Healing Foundation will not be liable for any damages in the event
that performance of this contract is rendered impossible for any of the following causes:
destruction of the exhibit hall or any substantial portion thereof by fire, earthquake, a
public enemy, strikes or other public disorder, or for any cause beyond its control or
control of Skamania Lodge.
Storage: The Lodge has no facilities for the storage of exhibits or materials. Also, there
is no security for valuables left in the exhibit space overnight.
Conduct of Exhibits: Interviews, demonstrations, and distribution of literature or samples
must be made within the booth area assigned to the exhibitor. Canvassing or distributing
promotional materials outside the exhibitor's own booth is not permitted. Exhibitors
may not serve or dispense food or beverages of any type from their booths or in the
exhibit area. Each exhibitor must make provisions for the safeguarding of his/her goods,
materials, equipment, and display at all times. Neither the Hope of Healing Foundation
nor the Skamania Lodge will be held liable for personal injuries or for damage to
property owned or controlled by the exhibitor in the rented exhibit space. Exhibitors or
groups who desire to carry insurance on their exhibits must place it at their own expense.
Cancellation Policy: If the Hope of Healing Foundation receives written notice of space
cancellation by March 30, 2012 a 50% refund of monies received will be made. If an
exhibitor cancels after March 30, 2012 and the space is not resold or exhibits are not sold
out, the entire cost of booth space will be forfeited.
